Position Summary:

The Conference Set-Up and Services Office Assistant will support the Dept. Manager & Conference Set-Up and Services Department with workflow organization, office reception, radio dispatch, written correspondence and conference hospitality related tasks including Meeting room set-up.

Essential Functions / Requirements:

  1. Exhibits superior guest services abilities through clear, professional and friendly interactions (verbal and written), timely and accurate follow through on requests, and resolves problematic guest situations professionally with guest satisfaction as the goal.
  2. Ability to quickly learn Maestro reservation system and worth within it to organize daily workflow & verify information.
  3. Ability to develop professional, accommodating relationship with Conference Coordinators and colleagues in all other EPC departments, as well as group leaders.
  4. Provides office phone reception, including radio dispatch and communication to Set-Up Team Members.
  5. Possesses strong attention to detail and ability to prioritize tasks appropriately in an ever-changing, time sensitive environment.
  6. Runs daily reports to ensure most accurate information on deliverable items.
  7. Assists with securing accurate set-up information for incomplete event orders, working with group history files to anticipate needs & previous issues of concern before each group arrives and effectively communicating with Conference Coordinators to obtain best information.
  8. Assists with updating group files post-conference, adding most current notes, surveys, diagrams and communicating key notes with Conference and/or group sales.
  9. Demonstrates strong leadership abilities and appropriate assertiveness needed to delegate tasks to Set-Up Team Members.
  10. Promotes a cooperative, positive and problem-solving atmosphere at all times, reporting areas of concern to supervisors.
  11. Possesses physical stamina to assist Set-Up Team Members as needed. Must have ability to lift chairs, tables, stage pieces(with assistance), and other deliverable items of up to 50lbs and get in and out of vehicles multiple times daily.
  12. Executes conference event orders accurately and upholds the quality standards set by supervisors.
  13. Maintains cleanliness of Conference Spaces.
  14. Available to work varied schedules; day, evening and weekend flexibility required.
  15. Possesses a valid, USA state issued driver's license, an acceptable driving record, and comply with YMCA driving rules to be approved to operate YMCA vehicles.

2 shirts will be provided for you. Please have comfortable, closed-toe shoes and khaki pants (or below-knee khaki shorts-summer only). Sweatpants or yoga type pants will not be permitted.


This is a seasonal, hourly (based on 40 hours/week) position, paying $270/week, with employee perks including:

We have a zero tolerance policy for alcohol or drugs on property; in addition, no drug use is tolerated (including marijuana) during your employment with us whether on- or off-duty.

If you are a rehire and have worked at YMCA of the Rockies Estes Park Center, Snow Mountain Ranch, or Camp Chief Ouray at any time during the past three years, references are not required.
