POSITION SUMMARY:

This position supports the work of the YMCA of the Rockies, Snow Mountain Ranch), which operates a mission-based family and group conference, retreat center, and residential camp, serving more than 50,000) annually. The Inventory/Office Maintenance Technician is primarily responsible for inventory control and ordering.  Responsibilities will also include supervision of receiving, general day to day operations of the office including data entry, managing the work request program, dispatching staff, and general light maintenance across Snow Mountain Ranch.

ESSENTIAL FUNCTIONS:

  • Develop and maintain a quality inventory control system for the Building & Grounds Department.
  • Communicate with suppliers to ensure competitive pricing and services.
  • Organize and label supply and tooling areas to monitor inventory levels.
  • Maintain inventory levels to ensure adequate parts and supplies are on in inventory
  • Develop and monitor tools and supply check-out systems.
  • Check invoices for accuracy, code and approve for payment in the invoice management software.
  • Communicate with the Buildings & Grounds Supervisors to ensure that inventory levels are acceptable.
  • Receive, document, and distribute incoming packages. 
  • Assist the Buildings & Grounds Department as needed to ensure quality services for guests and staff.
  • Keep daily logs and records of all maintenance functions.
  • Assist with guest queries.
  • Possess a valid, USA state-issued driver’s license, an acceptable driving record, and comply with YMCA driving rules to be approved to operate YMCA vehicles.
  • Possess stamina to work in the work environment described herein.

REQUIREMENTS/QUALIFICATIONS:

  • Excellent public relations, time management, and organizational skills required.
  • Computer experience is necessary for this position, as several different software applications will be encountered.
  • Inventory control and office supervision are the main focuses of this position along with the ability to communicate with supervisors and to keep inventory at acceptable levels and maintain a positive office
  • Experience with maintenance operations in the property management setting and maintenance inventory required. 
  • An understanding of preventive and periodic maintenance for understanding the principles and direction of the maintenance management software currently in use preferred but not required.
  • Knowledge of purchasing, shipping and receiving, tools and hardware preferred but not required.
  • Must follow written and oral instructions.
  • Computer experience and ability to learn new software required.
  • Must be able to use telephone, two-way radio, and other communication equipment.
  • Greet all customers that enter the Buildings & Grounds office to ensure maximum customer service.
  • Answer all incoming calls and questions, ensuring maximum customer service.
  • Generate work requests between Buildings & Grounds staff, guests, and other departments as necessary.
  • Communicate current and upcoming projects with the Buildings & Grounds staff and other departments as necessary. Assist with the scheduling of projects.
  • Assist in planning of maintenance operations and ensuring that needed facilities are taken off-market and returned to rentable status in the computer system.
  • Implement and update the maintenance management software program and recordkeeping systems for the Buildings & Grounds department.
  • Administer information to all Buildings & Grounds personnel, including but not limited to phone messages, emails, mail, announcements, meetings, etc.
  • Receive, secure, distribute, and ship UPS and FedEx shipments.
  • Assist Buildings and Grounds Department in areas of general maintenance as needed. 
  • Possess excellent written, verbal and interpersonal skills.

WORK ENVIRONMENT & PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 

  • Able to work well with frequent interruptions in a busy office environment.
  • The noise level in the work environment is usually fairly high.
  • Must be able to sit for a substantial period of time, while still being able to bend, stoop, and walk for periods of time. 
  • Some physical work required with substantial lifting and carrying objects up to 50 pounds
  • Ability to climb stairs and frequently get up and down from desk.
