POSITION SUMMARY: 

This position supports the work of the YMCA of the Rockies, which operates two mission-based family and group conference and retreat centers, as well as a residential camp serving more than 225,000 guests and campers annually. The International Coordinator is responsible for managing and coordinating the Association's Exchange Visitor (EV) program in-country experience. Exchange Visitor (J) visas are nonimmigrant visas for individuals approved to participate in exchange visitor programs in the United States. The YMCA of the Rockies hosts the following under the Exchange Visitor Program: Work and Travel, Camp Counselor Intern, and Trainee programs.

ESSENTIAL FUNCTIONS:

  • Maintain regular communication with the International Programs Director.
  • Collaborate effectively with individuals from diverse cultural backgrounds.
  • Ensure timely pre-arrival communication with incoming Exchange Visitors.
  • Assist with one-way shuttle reservations for Exchange Visitors from the airport to our location.
  • Act as the primary on-site resource for managers and Exchange Visitors.
  • Lead the development and execution of class agenda and cultural exchange activities for Intern/Training Program Participants.
  • Work with the HRIS manager and payroll specialist to ensure exchange visitors are compensated in compliance with visa regulations.
  • Meet monthly with Interns and Trainees to track progress and adherence to training plans.
  • Provide continuous supervision for International Interns and Trainees in the International Department.
  • Deliver pre-arrival and pre-departure communication to all Exchange Visitors.
  • Prepare and conduct orientations for all staff about international programs, ensuring consistent information is shared at both locations.
  • Assign payroll cards to new Exchange Visitors and ensure compliance with bank card program regulations.
  • Coordinate with the Staff Experience Team to arrange transportation for Exchange Visitors to the Social Security Administration Office.
  • Utilize HR systems for hiring, onboarding, and check-in processes.
  • Educate staff on cultural awareness and understanding.
  • Collaborate with the Staff Experience Team to organize cultural events.
  • Facilitate international cultural programs within the community.
  • Serve as the liaison between Exchange Visitors and their Visa Sponsors.
  • Foster a cooperative and positive atmosphere.
  • Demonstrate strong organizational skills, with attention to detail and deadlines.
  • Travel to the sister location at least once a month.

OTHER FUNCTIONS:

  • Screen all incoming phone calls.  Help callers with queries.
  • Provide any needed assistance to the Human Resources staff, department managers, employees, and guests to ensure a smooth operation if need it.

REQUIREMENTS/QUALIFICATIONS:

  • College degree and one year of supervisory experience are required. Bachelor’s degree in Human Resource Management or Business Administration preferred.
  • Minimum of 2 years office experience or formal HR training preferred.
  • Ability to operate office equipment: computer, telephone, copier, scanner, etc.
  • Must be able to work a flexible schedule as hours vary and will include weekends, evenings, and holidays.
  • Must possess a valid, USA state-issued driver’s license, an acceptable driving record, and comply with YMCA driving rules to be approved to operate YMCA vehicles.
  • Excellent keyboard, data entry, and organizational skills. 
  • Ability to comfortably speak in front of groups of up to 150 people.
  • Ability to train supervisory staff in Human Resources – Exchange Visitor Program-related matters.

WORK ENVIRONMENT & PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 

  • The employee must be able to lift and/or move up to 30 pounds. 
  • The noise level in the work environment is usually fairly high.
  • Ability to climb stairs and frequently get up and down from desk.
