POSITION SUMMARY:

This position supports the work of the YMCA of the Rockies, which operates a mission-based family and group conference and retreat center and a residential camp, serving more 225,000 people annually. The Hiring Assistant supports the Talent Acquisition team by screening applicants, conducting interviews, hiring staff, and processing references, background checks, and onboarding paperwork. This role manages candidate records in the ATS, moves staff through the HRIS system, and ensures timely, professional communication with candidates and staff. The Hiring Assistant also assists in other HR areas as needed while upholding confidentiality and YMCA values.

ESSENTIAL FUNCTIONS:

  • Fluently read, write, and speak English to communicate effectively with candidates, staff, and hiring managers.
  • Perform basic office functions, including answering phones, monitoring the HR inbox and voicemail, data entry, filing, making copies, and greeting candidates/visitors.
  • Use Microsoft Office (Word, Excel, Teams, Outlook) to maintain employee records and prepare correspondence.
  • Utilize the applicant tracking system (ATS, e.g., Paycom) to review candidate applications and route qualified candidates to hiring managers.
  • Screen and interview candidates for a variety of positions and complete required hiring documentation.
  • Send and review references and background checks for potential hires prior to onboarding.
  • Move staff through the HRIS system, updating employment status and records accurately.
  • Schedule interviews and send clear, professional communication to candidates and hiring managers.
  • Send pre-arrival onboarding communication and follow up with candidates before start dates.
  • Coordinate interviews and onboarding logistics as needed.
  • Work independently and be self-directed, managing time efficiently to complete tasks and meet deadlines.
  • Handle frequent interruptions in a busy office environment while maintaining accuracy and professionalism.
  • Maintain confidentiality in alignment with YMCA policies.
  • Assist in other HR areas as needed, supporting seasonal and project-based initiatives.

REQUIREMENTS/QUALIFICATIONS:

  • High school diploma or equivalent required; additional education in Human Resources or related fields preferred but not required.
  • Prior administrative, HR, or recruitment support experience strongly preferred.
  • Proficiency in Microsoft Office (Word, Excel, Teams, Outlook) and willingness to learn HRIS/ATS platforms if no prior experience.
  • Strong organizational skills with the ability to manage multiple tasks, prioritize, and meet deadlines.
  • Ability to handle confidential and sensitive information with discretion.
  • Ability to work independently while also functioning collaboratively in a team environment.
  • Comfortable working in a fast-paced setting with frequent interruptions.
  • Availability for on-site roles at YMCA of the Rockies locations (Estes Park Center or Snow Mountain Ranch).
