Talent Acquisition Operation Specialist

POSITION SUMMARY:
This position supports the work of the YMCA of the Rockies, which operates a mission-based family and group conference and retreat center, serving more than 225,000 guests annually. The Talent Acquisition Operations Specialist supports the day-to-day execution of the recruiting process with a focus on scheduling, hiring logistics, documentation, onboarding, and systems accuracy. This role ensures candidates experience a seamless, timely, and professional process from interview to arrival while ensuring all onboarding requirements are completed before staff begin work. As a systems-minded individual, this position also moves new hires to the HRIS side of the system, manages ATS workflows, maintains data integrity, and supports process improvements in collaboration with the broader recruiting team.

ESSENTIAL FUNCTIONS:
Interview Scheduling & Coordination
- Schedule/manage interviews for all role types (seasonal, intern, volunteer, year-round).
- Coordinate calendars and communicate logistics with candidates and hiring managers.
- Ensure a smooth, efficient, positive candidate/manager experience.
Candidate Selection Support
- Collect interview feedback from the Association Recruiter Strategist and hiring managers.
- Facilitate timely follow-ups and assist in guiding final selection.
- Track candidate status updates accurately in the ATS.
Reference Checks & Background Screening
- Initiate and monitor reference checks and background screenings.
- Follow up to ensure timely completion.
- Maintain compliance with legal and YMCA policies.
Offer Letters, Hiring Documentation & HRIS Management
- Draft, send/approve, and track offer letters using templates and Paycom workflows.
- Process hiring documentation accurately and on time.
- Move new hires to HRIS, ensuring complete and accurate records.
- Track offer acceptances and communicate next steps.
Onboarding Coordination
- Coordinate pre-arrival onboarding, start dates, documentation, and housing/travel if needed.
- Ensure onboarding is complete before start dates, facilitating seamless HR handoff.
- Communicate first-day expectations and serve as a contact for hires.
Recruitment Metrics, Systems & Reporting
- Track and report key metrics (time-to-fill, status, bottlenecks).
- Generate reports, identify trends, and recommend improvements.
- Manage data accuracy in ATS/HRIS; assist with audits/system updates.
- Troubleshoot system-related issues.
Supervision of Hiring Assistants
- Provide daily supervision, guidance, and task delegation.
- Ensure adherence to workflows and timelines.
- Support training and cross-training in recruitment systems and processes.
Process Improvement & Candidate Experience
- Recommend and support workflow improvements.
- Assist with automation and streamlining of repetitive tasks.
- Ensure a professional, welcoming, mission-aligned candidate journey.
Collaboration & Support
- Partner with the Association Recruiter Strategist, HR, and hiring managers.
- Provide admin support for recruitment projects and event logistics.
- Participate in cross-training and support various recruitment functions as needed.
REQUIREMENTS/QUALIFICATIONS:
- Relevant experience in Human Resources, Communications, or a related field is required.
- Two years managing all phases of the recruitment and hiring process preferred.
- Possess a valid drivers license and meet YMCA vehicle operation requirements.
